Privacy Policy
QolSync AI is operated by CHONGS CLOUD CONSULTING SERVICE LLC ("C3S LLC"). This Privacy Policy describes how C3S LLC handles your information. For privacy questions or support, contact support@qolsync.ai.
The product-specific retention periods in Sections 3 and 6 apply to the QolSync AI app for iPhone and iPad distributed through Apple. Other QolSync AI services may use different retention periods described in their applicable privacy notices.
EU & UK Representatives
We value your privacy and your rights as a data subject and have therefore appointed Prighter Group, with its local partners, as our privacy representative under Article 27 of the GDPR (and the UK GDPR) and as your point of contact for the following regions:
- EU representative: Prighter Group — our appointed representative in the European Union.
- UK representative: Prighter Group — our appointed representative in the United Kingdom.
Prighter gives you an easy way to exercise your privacy-related rights (e.g. requests to access or erase personal data). To contact us via our representative or to exercise your data-subject rights, visit our Prighter portal, or email us at privacy@qolsync.ai.
1. Information We Collect
We collect information you provide directly — such as account details and your in-app language preferences — and data generated through your use of QolSync AI, including usage metrics and diagnostic logs.
2. How We Use Your Information
We use your information to provide and improve our translation services, process billing, communicate about your account, and ensure platform security. We do not sell your personal data to third parties.
3. Audio and Translation Data
Your speech is processed in real time only to transcribe and translate it, and the audio is not stored on our servers. The app stores your retained transcript and session history locally. Some live modes also use temporary server transcript copies: server-routed live copies expire after 7 days, and personal archive and sync copies expire after 30 days. Original source files are deleted after processing. A completed server Content Library result remains until you delete the item or your account; incomplete jobs expire after 7 days. When you use AI summary or ask features, text is sent to our AI provider under a zero-data-retention agreement — not stored and not used for training.
4. Sub-processors
To deliver real-time translation we rely on a small set of trusted sub-processors. Each one receives only the data needed for its task, only for the duration of that task. We name them here so you know exactly who processes what.
- Soniox (LIVE AUDIO — real-time speech-to-text): for Tier-1 live translation, your audio streams directly to Soniox and is processed transiently to transcribe it. It is not stored.
- OpenAI (TEXT AI — translation, summaries & answers): runs server-side under a zero data retention agreement and is not used for training. Only text is sent to OpenAI, never your audio.
- Microsoft Azure (INFRA — our backend & Application Insights diagnostics): hosts our backend and collects diagnostics through Application Insights. Azure also processes audio for higher-accuracy Tier-2/3 live translation and files you upload. Live and uploaded audio is not retained beyond the processing task. Temporary transcript and Content Library result copies follow the periods in Section 6.
In short: live audio is processed only to translate or transcribe it and is not stored. Your live-session transcripts remain on your device. When a route needs a server copy, that copy expires automatically under the periods in Section 6. Original uploaded source files are deleted after processing.
5. Data Security
All data is encrypted in transit (TLS 1.3) and at rest (AES-256). We are pursuing SOC 2 Type II certification and conduct regular internal security reviews. Access to customer data is restricted to authorized personnel on a need-to-know basis.
6. Data Retention
For the QolSync AI app for iPhone and iPad, we apply these retention periods:
- Device-direct live modes: transcripts are stored locally on your device and are not stored on our servers.
- Server-routed live transcript: the server copy expires automatically after 7 days.
- Personal server-routed archive and sync copy: the server copy expires automatically after 30 days; your app history remains on your device until you delete it.
- Q&A questions: server records expire automatically after 7 days.
- Completed server Content Library result: retained while your account is active until you delete the item or your account; incomplete jobs expire automatically after 7 days. A copy saved in the app remains on your device until you delete it.
- Uploaded source files: deleted from our servers after processing completes.
Account data is retained while your account is active. If you delete your account, we delete or anonymize associated personal data unless we must retain specific billing or transaction records for legal, tax, fraud-prevention or dispute purposes.
7. Your Rights
You may request access to, correction of, or deletion of your personal data at any time by contacting privacy@qolsync.ai. GDPR and CCPA rights are fully supported, including the right to data portability.
8. International Transfers
Account, session and billing data may be processed in the United States. For users in the European Economic Area, the United Kingdom and Switzerland we protect these transfers with the EU Standard Contractual Clauses (together with the UK Addendum and the Swiss adaptations), plus encryption and strict access controls. Live audio for EEA, UK and Swiss users is processed in the EU (Frankfurt) to transcribe and translate it, and is not transferred to the United States.
9. Children's Privacy
QolSync AI is not directed to children under 13, and we do not knowingly collect personal data from anyone under 13. If we learn that we collected such data, we will delete it.
